Whoever Calls Back First Wins: Speed to Lead in Odoo, Step by Step

An ordinary enquiry, three companies, one order. What the fastest one does differently, on real Odoo screens.

Anna needs twelve desks for her team by March. At 10:28 on an ordinary weekday she sends the same request to three companies. Two keep her waiting: one sends an automatic reply, the other plans to call tomorrow. The third calls her back within minutes, asks the right questions and sends the offer before lunch.

Guess who gets the order. This article shows why speed decides so many deals, and how the whole path from enquiry to paid invoice runs in Odoo, without anyone having to remember to call.

The numbers at a glance

391%

higher conversion when the call comes within a minute of the enquiry (Velocify, about 3.5 million leads).

5x

lower odds of reaching the lead if you call after ten minutes instead of five (MIT and InsideSales.com, 2007).

42 hours

average time US companies took to answer a web enquiry (Harvard Business Review, 2011).

23%

of the companies in that study never answered at all.

Why answers are slow

In most companies the work around one enquiry sits in five places: the enquiry waits in an inbox, the call depends on someone remembering it, the notes from the call end up on paper, the quote is typed in the evening, and it arrives as a list of prices. Nobody is lazy. The process simply has five handovers, and every handover costs hours.

Without a system

  1. The enquiry waits in a shared inbox
  2. Someone remembers to call, sometimes the next day
  3. Call notes on paper, details get lost
  4. The quote is typed in the evening
  5. A PDF with a list of prices

With the path in Odoo

  1. The enquiry becomes an opportunity, the reply goes out at once
  2. The system gives the salesperson one task: call back now
  3. One click from the task starts the call
  4. With consent, the call is recorded and written down
  5. The quote is built from a template and a calculator

The same five steps, without the handovers.

How the path runs in Odoo

From enquiry to quote in minutes

1 / 4

The enquiry arrives from the website. Odoo creates the opportunity and sends the reply within a minute.

2 / 4

An automation gives the salesperson one task: call back now. Nobody has to remember.

3 / 4

One click on the task starts the call in Odoo Phone. With the customer's OK, the call is recorded and transcribed.

4 / 4

The summary and transcript stay on the opportunity. The quote is built from what the customer said, with a template and a calculator.

In the film the quote goes out twelve minutes after the enquiry. Signature and payment follow on the customer's phone.

After that, the customer opens the offer, picks a variant, signs and pays on her phone. You see when she opened it and when she said yes. The invoice and the installation task are created by themselves.

What matters for whom

WhoWhat changes
OwnerEvery enquiry is answered and called back, measured in minutes, not in days.
SalespersonOne task list, the call one click away, no notes to type up.
CustomerA call while the need is fresh, an offer that matches what she said, signed in minutes.
Back officeOrder, invoice and delivery are created from the signed offer.

Before you start

1

Consent first. Record a call only with the other person's consent and tell them why. In Germany recording without consent is a criminal offence (Section 201 StGB).

2

A provider that records. Recording and transcription in Odoo Phone need a telephony provider and a recording policy set up for your company.

3

Templates and a calculator. A quote in minutes needs a quotation template and the maths for your typical jobs prepared in advance.

4

Measure the minutes. Track the time from enquiry to first call. What gets measured gets faster.

Our view

Opinion, not a study: most companies do not lose deals because their offer is worse, but because they answer later. Speed is the cheapest advantage you can build, because it needs no new product, only a path where nothing waits for someone to remember it.

Frequently asked questions

Can Odoo record and transcribe sales calls?

Yes. Odoo Phone calls customers from the opportunity and, with a provider that supports recording and transcription switched on, stores the recording, the transcript and a summary on the call.

Is it legal to record calls?

Only with the consent of the person you talk to. Ask at the start of the call and record only after they agree.

Do I need the whole of Odoo?

For this path you need CRM, Sales and Odoo Phone. Signature and online payment run in the customer portal, invoicing in Odoo Invoicing.

How long does it take to set up?

Our sales system goes live in four weeks. If we miss the date, the weekly rhythm and care are on us until it runs.
